In Kindertales, the Settings section houses the foundation for managing your childcare services. This lesson delves into two pivotal areas: Programs and Rooms, ensuring you have the tools to effectively organize and price your services while setting up your physical spaces for optimal operation.

Programs Tab

The Programs tab is essential for administering your daycare's programs and pricing. Here's how to navigate it:

  • Adding a Program:
    • Navigate to the Programs section and click blue plus sign at the top right corner.
    • Determine whether the program is universal (All Locations) or specific to one location.
    • Input the Program name and select a Program Type. Options include Before School, Daytime, Afterschool, and Custom. This flexibility allows for tailored childcare solutions.

It's crucial to remember that a child cannot be concurrently enrolled in multiple programs of the same type to prevent scheduling conflicts. For example, the system will not allow you to enroll a child into two Daytime programs simultaneously.

  • Setting Enrollment Fees:
    • You have the option to manually input fees or enable automatic fee generation upon a child's enrollment.
    • Incorporate Late Fees Per Minute to encourage punctuality, with a customizable grace period for flexibility.
    • The Expected Graduation Age, measured in days, offers a forecasting tool rather than a strict end date, aiding in planning future enrollments.
    • Select default Milestones to align educational goals with your curriculum, and consider enabling the Baby Bulletin feature for enhanced parent-teacher communication about infant care needs.
    • Finalize your program setup by clicking Update & Save.
  • Pricing Configuration:
    • With your program defined, proceed to click Add Pricing within the Pricing section below.
    • Define the pricing tier and establish the billing cycle, accommodating various family needs with monthly, weekly, bi-weekly, or semi-monthly options.
    • Define a Single Day price for occasional care requests, ensuring families are billed accurately for sporadic attendance.
    • Specify the program's operating hours, capacity in terms of maximum scheduled days, and the applicable days of the week.
    • Click Save & Add to apply your pricing settings, readying your system for child enrollments.

Rooms Tab

Efficiently utilize your childcare center's space by configuring room settings:

  • Adding a Room:
    • In the Rooms tab, click Add/Edit Room to start defining your spaces.
    • Choose the room type (Classroom or Common Area) and fill in the name and capacity, ensuring each child has a safe and accommodating environment.
    • Input the room's operational hours and the minimum teacher-to-child ratio to comply with regulations and ensure quality care.
    • Click Save to activate the room within Kindertales, marking it ready for program enrollments.
