Managing Incident, Accident, and Illness Reports
Objective:
Learn to properly create and manage reports for incidents, accidents, and illnesses, ensuring sensitive information is handled with appropriate care and communication.
Overview:
This lesson focuses on the detailed process of documenting reports within the app, emphasizing the importance of confidentiality and the steps required to complete and verify such reports.
Steps:
-
Creating a Report
- Navigate to the Reports section in the action menu of the child’s profile.
- Select the type of report you need to create: incident, accident, or illness.
-
Sensitivity and Notification
- Understand that these reports are sensitive. Parents are not notified through the app when such reports are created to ensure discretion.
- If the incident is significant, it is recommended to contact the family immediately via phone call to discuss the matter directly.
-
Collecting Signatures
- The first signature needed is from you, the staff member who fills out the report, confirming the accuracy of the information provided.
- The second signature is from your director, who will be notified that a report has been created. This allows the director to review the report before adding their signature, ensuring oversight and accuracy.
- The final signature required is from the parent or guardian. This ensures that the family is aware of the incident and agrees with the report’s contents.
-
Completing the Report
- Once all signatures are collected, the report is considered complete.
- The completed report can then be accessed by the family on their app, ensuring transparency and keeping the communication lines open.
